How to Submit Your Edits to Workflow
Any time your changes are fully complete and ready to go live, submit your draft to workflow. Documents and images do not go through workflow, so they automatically publish to the server for immediate use. When you make a submission, Cascade will walk you through the Content Check. This lesson starts with the assumption that you navigate to the site and the specific page you have made edits to that you want to go live.
There are two types of workflow: Content and Technical. Check this link for more about workflows.
If you have already completed Cascade training and you have a live asset with which to work, please follow along using your real asset. If you are using this guide for practice, please always use the _playground site. Yes, it starts with an underscore. It is a test site specifically meant for practicing.
Follow these steps to learn how to submit a workflow in Cascade.Step 1
Submitting a Draft
If you have edited an asset, and if you are viewing the draft version of that asset, and if all of your changes are ready to go live, click the Submit button to create a workflow and send it to either Content Review or Technical Review.
Step 2
Start the Content Check
Click the Check Content & Submit button.
There is a field at the top of this submission window to leave a comment. By default, Cascade will autofill some text to describe what was changed. It is a way for your to track which changes you made to a specific version of your page. Use it for whatever professional reasons you want, but do NOT try to use it to contact the Web Team. We ignore that box.Step 3
Spell Check
Here is an example of spelling errors. Each misspelled word is individually listed. An icon appears above any tab if there are errors, which you can see in the example above the Spell Check tab, the Broken Links tab, and the Accessibility Check tab. Spelling errors can be ignored, or you can select fix to choose an alternate suggestion. If you click fix, you can also click into that drop down and manually type in the replacement word you want to use. The example shows replacing the first word with “depicting.” Anything you want to ignore, leave the ignore option selected.
Step 4
Advancing
Once all of your spelling errors are resolved, click the right arrow button to advance to the next tab.
Step 5
Broken Links
Broken links will return any broken external links on the page. This is another reason that most links to assets in Cascade must be internal. Changing a broken link is exactly like changing a misspelled word. Click the fix bubble to be presented with a field where you can fill in the correct web address. Once all of your broken links are resolved, click the right arrow button to advance to the next tab.
Step 6
Accessibility Check
If you add a table anywhere to your page, the accessibility check will always return an error for each table. Tables require alternate text exactly as images would. Briefly describe your table for users using a screen reader.
Step 7
Complete Content Check
When each of the content checks is complete, click the Confirmation Checkmark to continue with the workflow submission process.
Step 8
Start Workflow
Again, there are fields for comments, but the Web Team does not use or review these. Leaving any information in them will mean we do not see it. The very last step is to click the Start Workflow button. This will send your workflow to either Content Review or Technical Review.
Step 9
Asset in Workflow
Step 10
Workflow Wait
After returning to your page, you should notice that the page displays the “Working Copy” icon and text reading that “This is a working copy. Changes will be permanent when the workflow completes.” Now, all you have to do is wait for your workflow to clear review, and after that, your changes will be live.
